Buying Officer - Food and Beverage
Job Description:

About the role

As a Buying Officer, you will handle a portfolio of brands/vendors including the need to source for new suppliers, negotiate the best possible price and terms with suppliers, analyse trends in consumption patterns. You will also prepare and implement new product launches and promotional activities with the support of suppliers, conduct price/product comparison with other duty free and local/ international spanet, ensuring the offer is in line with the spanet offer to maximize sales opportunity.

Key accountabilities include, but are not limited to:

  • Negotiate, in the best interest of the Company, with international and local suppliers, regarding selection, price, terms, deliveries, freight, insurance, quality special discounts, extended credit and general spaneting support, strategy and training to maximize the profitability of the organisation.
  • Liaise with suppliers for product launch ensuring the latest products are available in F&B prior to the local spanet and ensuring the correct retail pricing structure are used to secure the budgeted profit margins.
  • Analyse various reports/statistics such as: stock reports, span-up analysis, sales reports, accounts statements and passenger statistics, recommending appropriate action plans to enhance or maintain budget margins by increasing sales or reducing cost.
  • Visit F&B stores and warehouse regularly to monitor physical stock levels and liaise with the warehouse manager if any action required for further enhancement.
  • Conduct periodic product review to analyse the performance of each range of merchandise, comparing the sales results to establish sales trends, sell through rates, slow moving items for de-listing, ensuring stock levels are optimized.
  • Plan the logistical tasks in such a manner as to reduce cost and ensure continuous and smooth flow of stocks to operations. Consider the lead times from source for the manufacturing, shipping and customs clearance.
  • Facilitate competition check in relation to stock, prices, promotions, product launches, fixtures and fittings, to ensure that F&B offers 5 star customer services in value for money and latest stocks.
  • Maintain and constantly update a supplier file of the vendor with all relevant product information ensuring updated supplier listings in the supplier file highlighting additions deletions and price changes and ensure that the file is kept updated at all times.
  • Arrange products training to the team as and when required.
  • Depending on the logistics terms outlined in the contract, coordinate with freight forwarders, coordinate shipping containers or communicate direct deliveries for vendors (international & local) to the DC.
  • Receive daily DC discrepancies report and liaise with supplier to adjust order/ PO accordingly to ensure accuracy.
  • Coordinate sample/ tester packaging with vendors to support MOI requirements on receipt through customs.
  • Communicate with QDF transport on issues pertaining to fleet management to ensure timely and effective maintenance of vehicles as per agreed maintenance schedule.
  • Develop a new suppliers’ base and submit requests to create new or modify existing suppliers in Suppliers Master in ERP Software.

Qualifications

About you

The successful candidate will have the following qualifications and skills:

  • Relevant College or University qualification to min Bachelors level, preferably in Procurement, Logistics, Retailing, Marketing and or Business Administration.
  • Minimum 4 years relevant experience
  • Experience buying FMCG.
  • A high degree of spanet awareness and a detailed knowledge of the F&B industry.
  • Ability to organise and prioritize tasks on a regular basis.
  • Able to work to deadlines and work under pressure.
  • Well-developed lateral and analytical thinking skills.
  • Strong commitment to confidentiality.
  • Strong people manager; able to lead a professional team.
  • Excellent project management skills; able to deliver tasks within tight deadlines.
  • Creative and innovative; able to design new and effective solutions.
  • Managerial skills
