SUMMARY
Manage and monitor the effective delivery of billing information to customers via statements and invoices that weren’t received. Ensure the accuracy of billing information entered into the system and actively following up for payments on all customer accounts and offering timely feedback to manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manage and accurately process invoices based upon contractual terms
- Review all invoice data for variances and resolve any conflicts or queries
- Ensure new customers are set up correctly in all systems and all processes are followed through and
- adhered to
- Ensure customer Invoices to SAP Upload Process is accurate and complete
- Complete random audits to ensure accuracy of billing and follow up to resolve any issues
- Be an ultimate custodian of and provide monthly analysis of billings statistics and billed revenue
- Ensures sequence of invoices are in order and can justify differences
- Monthly review of revenue billed and reporting of reasons for deviation
- Document billing procedures in a systematic and orderly manner
- Consistent review of revenue statistics for billing and recharges
- Support both internal and external audits
- Provide customer support on billing issues and queries are addressed timely
- Generate reports as required and upload or email bills online to customer system when required
- Provide support to all business units and customers on billing requests
- Assist with AR collections as needed
- Assist in Filing away invoices
- Comply with the responsibilities detailed in the stations QHSE Management System Manual and the manuals under your responsibility and management, ensuring compliance with the requirements in accordance with ISO 9001, ISO 14001, ISO 45001 and ISAGO standards.
Key Performance Indicators
- On time data entry (reporting) of finalized figures into Group Reporting System
- Quality and accuracy of closings (Actual & Budget)
- Updated manuals and documentation
- Implemented improvement suggestions
- Accounting quality across the Swissport Group
- Limitation of recurring findings from local audits
- In the absence of the CFO, ensure all reports are submitted on time and analysis is provided to managers and CEO
- Invoice Accuracy, Attention to detail
- Knowledge of the contracts and their expiry dates
- Billing for all revenue generation sources systematically
- Systems in place to ensure all revenue is billed and invoiced amounts are accurate and in line with contract
- Up to date Statistics Reviews (daily review of statistics to ensure data consistently ready for billing)
- Timely (within 4 hours of completion) remittance of invoices to each customer
- Timely responses to customer queries
- Ability to bill user Findnet or any other Swissport Approved Software and manually in the case of system issues
- Documented Billing procedures for weekly, bi-weekly or monthly billing
- Documented alternative billing procedures for when system is inoperable
- Consistent communication with operations and revenue auditor to ensure accuracy of billing
- Monthly review of revenue billed and reasons for deviation Profit Margin
QUALIFICATIONS AND COMPETENCIES
- 2 years of experience in customer invoicing and AR reporting
- Good IT knowledge (not only applications, but also system architecture, etc.)
- Very good English, both verbal and written is a must
- Group experience (Multinational) is an asset
- Good knowledge of MS Office (especially Excel)
- Ability to work under demanding deadlines
- Communicative and ability to work in team
- Other languages considered an advantage
