Position Summary
The HRIS Specialist is responsible for the day-to-day operation, maintenance, and integrity of the Human Resources Information System (HRIS). This role supports HR operations through accurate data entry, system configuration, reporting, and compliance support. The position works closely with HR, Payroll, and external vendors to ensure efficient and compliant HRIS performance, including benefits data management and employee lifecycle transactions.
Essential Duties and Responsibilities
- Maintain and update employee data in the HRIS with a high level of accuracy and confidentiality.
- Support configuration, testing, and implementation of system enhancements or upgrades.
- Serve as the primary point of contact for HRIS-related inquiries and troubleshooting.
- Generate reports and analytics for HR leadership, finance, and compliance audits.
- Assist with data integrations and automated file transfers between internal systems and external vendors (e.g., benefits, payroll, timekeeping).
- Coordinate with benefits team and vendors to manage eligibility files (e.g., EDI, 834 files) and ensure accurate data transmission.
- Support annual Open Enrollment from a technical perspective, including system setup, testing, and file management.
- Evaluate and implement optimized system processes and configurations across all HRIS modules (Benefits, Recruiting, Onboarding, Performance, etc.)
- Conduct regular data audits to ensure consistency and compliance with company policies, regulatory requirements, and data security standards.
- Document standard operating procedures (SOPs) and maintain system process documentation.
- Maintain user access controls and system security permissions based on role-based criteria.
- Ensure compliance with relevant employment laws (e.g., HIPAA, FMLA, ACA, and data privacy regulations).
- Collaborate with cross-functional teams (HR, IT, Payroll, Finance) to support business needs and ensure data integrity across platforms.
Qualifications
Education and Experience
- Bachelors degree in Human Resources, Business Administration, Information Systems, or related field.
- 3–5 years of experience in HRIS or HR operations, preferably in a mid- to large-sized organization.
- Experience with HRIS platforms such as UKG (Ultimate Kronos Group) and/or SAP is required.
Knowledge, Skills, and Abilities
- Understanding of HR functions, policies, and procedures.
- Experience with benefits data management and file exchange formats (e.g., 834 EDI).
- Ability to handle sensitive and confidential information with discretion.
- Proficient in Microsoft Excel and reporting tools (e.g., Cognos, SAP BI).
- Strong analytical, troubleshooting, and problem-solving skills.
- Effective written and verbal communication skills.
- Ability to prioritize tasks and manage multiple deadlines.
Physical Requirements and Work Environment
- This position requires prolonged periods of sitting at a desk and working on a computer.
- May require occasional travel for training, meetings, or vendor collaboration.
- Must be able to lift up to 15 pounds (e.g., office equipment or materials).
- Work environment is typically quiet and climate-controlled (office setting).
